What to include in a cleaning quote
1. Your business details
Your business name, phone number, and email, plus your logo if you have one. Customers often compare several quotes, so make yours easy to recognise and easy to reply to.
2. The customer and the property
The customer's name and the service address. Note the details your price depends on, such as the number of bedrooms and bathrooms, the size of an office, or special conditions like pets or heavy build-up.
3. A clear scope of work
Say what the clean includes in plain language, for example "all rooms dusted high and low, kitchen degreased, bathrooms descaled, floors vacuumed and mopped". List anything that's not included, such as inside the oven, interior windows, or carpet shampooing, so expectations match.
4. Itemised services and prices
List each service on its own line with a quantity and price:
- main clean (one price for the job, or per visit for regular cleans);
- add-ons such as oven cleaning, interior windows, fridge, or carpets;
- per-unit items where that's how you charge, such as per window or per room.
If one price covers several services (a package), show it as one line and list what it includes, so the customer doesn't think they're paying twice.
5. Frequency
For regular cleaning, say whether the price is per visit, weekly, fortnightly, or monthly, and which days or times you've agreed. For one-off cleans, include the requested date.
6. Discounts and tax
Show any discount as its own line. If you charge sales tax, VAT, or GST, say whether your prices include it or it's added on top. In the UK and Australia, prices for consumers usually include VAT or GST. In the US, sales tax rules for cleaning services vary by state, so check what applies to you.
7. Quote number, date, and expiry
A reference number and issue date make it easy to follow up. An expiry date (for example 30 days) protects you if your costs change.
8. Terms
Keep them short. Common terms cover:
- what happens if the job is bigger than described;
- when payment is due and how to pay;
- cancellation and rescheduling notice;
- access to the property, parking, and whether you bring products and equipment.
